Lauder, the Alzheimer's Drug Discovery Foundation is dedicated to rapidly accelerating the discovery of drugs to prevent, treat and cure Alzheimer's disease. Position Summary:
The ADDF is seeking a highly organized, detail-oriented, and proactive administrative professional to join the team as Executive Assistant (EA) to the Executive Director, Drug Development, Laura Nisenbaum, PhD. This position offers an exciting opportunity for an enthusiastic and motivated individual to work closely with the leadership of a leading Alzheimer’s research and fundraising organization. The EA is an invaluable member of the team in keeping the mission moving forward and ultimately conquering Alzheimer’s disease.
The EA provides attentive, intelligent, intuitive, and proactive support, and will be required to operate with a keen sense of balancing priorities. This individual must have excellent communication skills, be a master multi-tasker, and have experience in managing complex calendars. The EA will oversee and lead a variety of day-to-day administrative operations, including scheduling meetings, booking travel, creating briefings, and communicating internally/across the organization and externally with key stakeholders.
Placement: This position reports to the Executive Director, Drug Development. This is a full-time exempt position. Candidates will need to reside in the tri-state area to be able to commute to the office three times a week. This role will be placed in Level 3 of ADDF’s salary structure; salary range for this role is $85-100,000
Key Responsibilities:
- Serve as a partner: liaise between staff members on behalf of ED, participate in meetings alongside ED to take notes and facilitate next steps across the organization
- Manage and oversee ED’s day to day and long-term calendar; arrange all internal and external meetings with a strong understanding of team objectives and organizational priorities.
- Collaborate/work closely with science leads and staff across the organization to ensure priorities are moving forward
- Create briefings for internal/external meetings and conferences.
- Arrange and coordinate ED’s travel pertaining to conferences, events, office visits and other meetings as needed; prepare detailed travel itineraries
- Assist with the preparation of agendas, presentation decks, and reports
- Manage email inbox, screen low priority emails, draft communication on behalf of ED as needed
- Support the team in key organizational initiatives by providing operational and administrative assistance; often participating in special projects that span multiple departments
- Manage, track, and submit expense reports and reimbursement requests
- Retrieve scientific articles as requested
- Other related duties as necessary
Qualifications:
- Experience working in a science-based org, industry, or pharma highly preferred
- Previous experience as Chief of Staff desired
- Ambitious, team-player mind-set with a drive for excellence.
- High degree of emotional intelligence and professionalism, a willingness to learn and apply, and a demonstrated history of taking initiative
- Outstanding time management and organizational skills with superior attention to detail
- Ability to effectively and prioritize multiple tasks and projects while also remaining flexible to shifting priorities
- Strong communication skills: ability to capture and articulate voice of ED/ADDF both internally and externally; effectively collaborate with a wide range of individuals, partners and stakeholders
- Excellent computer skills, especially Microsoft Office (Outlook, Word, Excel, and PowerPoint) and time management/organizational tools such as Asana.
